CONDUCT GUIDELINES

All pupils should remember and observe the following points concerning conduct during the school day.

Uniform appearance

It is your responsibility to know the uniform guidelines and dress appropriately. Students must always be smartly dressed.

Shirts must be tucked in neatly and the top button closed. A watchband is allowed as jewellery. For all students, hairstyle should be of natural colour, smart and tidy.

Security issues

Remember that prime responsibility for your valuables lies with you. Do not bring any valuables to the school; it is forbidden to bring any money. The school cannot be held responsible for any losses.

All boarding students must be dropped off and picked up by their parents/guardians on opening/closing day. All boarding students must report back to school on opening day at the right time. Any extension without early proper communication shall warrant the summoning of the parent/guardian for further explanation.

Chewing gum

This is forbidden.

Absences – day scholars

If for any reason you are absent from school, please ensure that the school office receives a call on the first day of your absence. You are also required to bring a letter of explanation from your parent/guardian to give to your class teacher on the first day of your return.

Leaving school during the day

To be absent from school for part of the day, you must bring a letter from your parent or guardian to show to your class teacher. This should be done if possible on the preceding day. You must be signed out by our Deputy Head of Academics in the “permission to leave book” that is kept in her/his office, and you will be given a gate pass slip.

Food matters

No food from outside is allowed. The school provides all the necessary food. Students are encouraged to bring a water bottle labelled with their name.

Litter

A healthy school environment is key to success in teaching and learning, and protection of the environment is one of our key values; so please do your part to keep it clean. Place all litter in the bins provided and encourage others to do so.

Mobile phones

Students are not allowed to come to school with their mobile phones.

Smoking, drinking and drugs

These items are strictly forbidden.

Stealing

This is forbidden and will lead to the expulsion of the pupil from the school community.

In general

Please remember to respect all members of the St. Philip Neri community and their property at all times. Any form of bullying behaviour will be dealt with harshly. Appropriate language and behaviour is required from everyone. Be polite and sensible, always consider the needs of others, and ensure that your individual contribution as a member of our community sets an example for other pupils to follow.


DISPUTE RESOLUTION POLICY

During interactions between SPN and yourself (parent) disputes may arise. The understanding of SPN is that such disputes should indeed be a factor in helping to facilitate a broad engagement with a view to establishing a common basis that will enable the school to undertake its mandate effectively and efficiently in tandem with the school motto: “Together we achieve the Extraordinary.”

1. Should any dispute arise between yourself and SPN regarding the performance of the school, child, a decision by the school, the Head of School, teacher or the parents’ representative meeting, the parties shall in the first instance attempt to resolve such dispute by amicable negotiation and mediation.

2. Should such negotiation and also mediation fail to achieve a resolution within either party may declare a dispute by written notification to the other, whereupon such dispute shall be referred to the Chairman of the Chartered Institute of Arbitrators in Kenya to appoint an Arbitrator. The decision of the Arbitrator shall be binding.


ILLNESS POLICY

Please use good judgment when sending your child to school. Children thrive only when they are well and able to participate in activities. Any child who has upon waking, or is sent home with, a fever of 38°C must remain home for 24 hours. NO EXCEPTIONS.

To avoid the spread of communicable diseases, any child who develops fever, rash, vomiting, or diarrhoea during school hours will be isolated from others and a parent or guardian will be called to collect the child immediately.

Do not send your child to school if they exhibit any of these symptoms:

  • Fever (38°C and above)
  • Vomiting
  • Diarrhoea or blood in stool
  • Rash
  • Rash with mouth sores and / or blisters on hands, feet, or diaper area
  • Severe runny nose or sneezing
  • Runny nose with cough / sore throat / body aches / decreased appetite / lethargy
  • Sore throat
  • Cough if barking / spasmodic or accompanied by weight loss
  • Pink eye(s) with discharge or crusting
  • Drooling with mouth / lip sores
  • Swelling / pain of cheeks or salivary glands

Your child may return to school if they are:

  • Fever free for 24 hours
  • Without vomiting for 24 hours
  • Without diarrhoea for 24 hours
  • Confirmed by a physician to have a non-contagious rash after 24 hours
  • 2 weeks past the onset of rash AND fever with mouth / hand / feet / diaper sores
  • Experiencing decreased severity of runny nose or sneezing
  • Experiencing improved symptoms of reduced runny nose / sore throat / other symptoms
  • 48 hours into antibiotic treatment or confirmed by a physician to be non-contagious
  • Confirmed by a physician to not / no longer have Croup or Whooping Cough
  • Confirmed by a physician that TB has been ruled out following cough and weight loss
  • 48 hours into antibiotic eye drop treatment AND experiencing a resolution of pink eye
  • Free of drooling and mouth sores or confirmed by a physician to be non-contagious
  • 5 days past the onset of swelling / pain of cheeks or salivary glands

DATA COLLECTION AND PROCESSING POLICY

According to the Protection Act, 2019 (the “Act”), which came into force on 25th November 2019, St. Philip Neri Primary and Junior School (also referred to as “SPN”) and according to section 26 of the Act, SPN provides you the following information about the processing of your data:

1. Purpose of data collection and processing: Personal data are collected directly from your child for the specific purpose of managing the students’ enrolment at SPN and providing educational services, billing, special care, medical attention and safeguarding as well as the corresponding personalized integral attention. The data collected in this form are necessary to fulfil this purpose. SPN will also need to collect and process sensitive data to fulfil the purposes previously stated under strict security measures. The collection, storage and use of such data collected shall be limited to purposes which are lawful, specific and as explicitly defined.

2. Legitimation in the processing of data: The data are collected for the purpose of performance of a contract to which the data subject is a party, compliance with any legal obligation, other than an obligation imposed by the contract, legitimate interests of SPN and the consent provided by you in certain circumstances.

3. Data retention period: The data will be kept for as long as it is necessary to fulfil the purposes. Once it expires, the data will be duly deleted under the appropriate security measures. Both the processing of the data and its deletion will be carried out under the security measures required by the law.

4. Communication of data and third parties: The data will not be communicated or transferred to third parties, except when necessary for the fulfilment of the indicated purposes, under the appropriate legal and contractual safeguard and when required by legal obligation.

5. Use of photography and videography of the students, staff and parents at SPN: Images are created for the purpose of sharing students’ achievements, skills, talents, celebrating pupils’ success and as a memory of each student’s time at our school, as well as the day-to-day life of the school and entire SPN community. Photographs and video images might be used for internal and external purposes including external marketing. Therefore, images may be used for internal magazines, publications and displays; they may be hosted on the SPN website and social media channels; submitted to communications, publications and commercial actions through printed and online media outlets; used in SPN publications and external marketing assets. Photography and videography of particular events and programs within SPN are submitted to media and news outlets that occasionally cover special events within our SPN. Consent to use such images will be required by SPN through our Audio-visual Consent form. You can withdraw your consent at any time and freely by submitting a written request to our Data Communication Officer in the terms exposed below.

6. Marketing purposes: With this consent, the personal data will be used for direct marketing purposes. You can object to such processing at any time by sending a written request to our Data Protection Officer.

7. Rights of data subjects: You may exercise your right to information, to request access to the data collected, object, rectification, erasure or withdraw your consent at any time by sending a written request to our Data Protection Officer.

8. Legitimate use of Data: SPN may legitimately use the data collected for journalistic, literary and/or art purposes and further for historical, statistical and research purposes. Further, SPN shall process the data for legitimate performance of a contract, compliance with any legal obligation, legitimate interest pursued in or by SPN by or with a third party.

9. Accountability: SPN shall implement appropriate technical and organizational measures to ensure compliance with data protection principles.

10. Parent responsibility: You shall familiarize yourself with this policy and also ensure that the personal data provided to the school is accurate and up to date.

11. Review of the Policy: This policy shall be reviewed every 3 years.

12. Right to file a complaint before the Authority: If you consider SPN has not attended correctly to your rights, you can lodge a complaint with the Office of the Data Protection Commissioner (DPC).
